How I Utilize the PARA Framework in Twos and Other Tools

Chapter 1: Understanding the PARA Method

Recently, I delved into Tiago Forte’s book, Building A Second Brain, which truly resonated with me. I've since adopted the PARA method in various platforms including Twos, my work email, project management tools, Google Drive, OneDrive, and Obsidian. The impact has been substantial!

The PARA acronym represents:

  • Projects
  • Areas
  • Resources
  • Archive

Here’s how I’ve set it up in Twos.

Section 1.1: Projects Overview

Projects encompass all my ongoing tasks or those that are about to commence. According to Tiago Forte, a project consists of a series of tasks linked to a specific goal and comes with a deadline. In my Twos setup, I include both professional and personal projects, along with my husband's business, household tasks, and gardening efforts. Each project is structured as a list, which may feature sublists. For work-related tasks, I prioritize these sublists based on their significance.

To maximize efficiency, I focus primarily on the initial two areas, delegating the rest whenever possible. When I began my new contract last year, my inbox was flooded with emails. Every seemingly important message became a folder with little rationale behind it, as I aimed to file everything for future retrieval. With a better understanding of what information holds value, I now categorize my emails and folders more logically using the PARA method. This approach has made locating information much simpler and more consistent.

Section 1.2: Areas of Responsibility

I categorize these as my spheres of responsibility, which encompass roles such as manager, spouse, homeowner, and financial overseer. Like projects, these are organized into lists with sublists, though they tend to be more private.

Tiago Forte describes an area as a domain of activity that requires maintenance over time. While some items here might resemble projects, they are more about ongoing commitments.

Section 1.3: Resource Management

This section contains many of my public lists, serving as a resource hub. Here, you'll find my watch lists, reading lists, and listening lists, among others. In a professional context, resources might include third-party contacts and networks.

According to Tiago Forte, resources pertain to subjects or themes of ongoing interest. In Twos, these lists are dynamic, allowing for ongoing additions.

Section 1.4: Archival Insights

Tiago suggests that if something is archived, it raises the question of its necessity. This section can hold completed projects that may prove useful in the future. My Twos Archive includes infrequently used items, such as a log of dates and room numbers from our favorite hotel and a guide on creating symlinks. Although I seldom reference these, I’m hesitant to remove them.

Tiago notes that the archive includes inactive items from the other three categories.

Chapter 2: The Impact of PARA

Initially, I was skeptical about the potential benefits of the PARA method. However, after implementing it and organizing my lists and folders accordingly, I have experienced significant advantages. I can swiftly access the information I need, knowing exactly where to find everything.

Tiago advises not to overthink where to categorize content. Just file it where it seems right. I find my choices remain consistent, and when I search for something, it’s typically where I expect it to be.

The PARA method integrates seamlessly with Obsidian, making it an excellent tool for note-taking.

My Obsidian Archive differs from others; it contains Twos weekly backups, old daily logs, and occasional useful information.

Section 2.2: Home Operating Manual

You can find a template for Tiago’s Home Operating Manual on Notion. Although I don’t use that specific template, it inspired me to create a similar structure within Twos, which is my preferred task management app.
